Follow-ups start from the real sent date of an estimate, also for the ones you added later. They stop within 60 seconds when the customer replies, asks a question, declines or accepts. Opening the page or clicking an option does not count.
| Step | When | What |
|---|---|---|
| Note 1 | Day 3 | A short practical note, from a template you approved |
| Note 2 | Day 7 | A second note, usually about availability |
| Note 3 | Day 14, or before the validity date | The expiry note |
| Call task | After the notes | A task for you to call; the sequence ends |
The rules that keep it human
- Sent between 8:00 and 19:00 in the customer’s time zone, never on Sundays.
- At most one message in 2 days per person.
- From your own email address or the channel the customer said they read.
- Use your templates or let AI draft a message. You review and approve each message before it is sent.
